How do I create a manual invoice?

Klerky's Manual Invoice process gives you greater control and a huge efficiency in how you invoice your customers.

To create a manual invoice for a customer, you must first ensure the Preferred Supplier Relationship has been setup to use Manual Invoicing. To. check and change this, visit How do I set custom invoicing. requirements per customer?

If your customer was previously on Automated Invoicing, these bookings may already have an invoice available on the Booking Details page. You won't be able to include them in a manual invoice, as they have already been invoiced.

As discussed previously, the benefit of Manual invoicing, is granting the ability to quickly:

  • create a single invoice for multiple bookings
  • provide additional notes or comments (including PO numbers or other instruction)
  • utilise your own invoice numbering
  • invoice periodically as you wish, to reduce admin for you and the customer

To create a manual invoice

  • Click the Customers tab on the left
  • Click the name of the customer you want to create a manual invoice for
  • Click the Send Invoice button
  • Select the bookings to invoice
  • Provide an Invoice Number (optional)
  • Provide any comments (optional, if you need to provide a PO Number, or any other information, this is the best place to add these details)
  • Preview the list of bookings included in the invoice
  • Submit the invoice, you can either
    • Submit, which will immediately email the customer a link to the invoice
    • Save, which will produce and show you the invoice, without emailing the customer
